This policy covers the Collaboration Earth newsletter signup and mailing list only. It does not describe every data practice that may apply to other parts of the website.

Who we are and what this policy covers

Collaboration Earth manages the Collaboration Earth newsletter. In this policy, “Collaboration Earth”, “we”, “us” and “our” refer to Collaboration Earth.

This policy explains how we handle personal information collected when you subscribe to the Collaboration Earth newsletter through our website. It covers signup, email confirmation and newsletter mailing-list administration. Other website features or services may have separate privacy practices.

Information we collect

When you subscribe, we collect your email address. MailerLite also maintains records needed to manage your subscription, such as its status, confirmation and unsubscribe activity.

The embedded signup form uses reCAPTCHA to help prevent automated or abusive submissions. MailerLite and reCAPTCHA may process technical information needed to operate and protect the form, such as browser, device, network or interaction data. Their own privacy notices describe their handling of that information.

Newsletter provider and overseas handling

We use MailerLite to host and operate the embedded signup form, manage subscriber records, send subscription confirmation messages and deliver newsletters. MailerLite’s privacy policy is available at mailerlite.com/legal/privacy-policy.

MailerLite states that its data storage centre is located in the European Union. MailerLite may also use service providers to operate its services. We have not independently verified all locations from which MailerLite or its service providers may process information. We do not sell newsletter subscriber information. We disclose it only to MailerLite and providers needed to operate or protect the signup and mailing service, where you consent, or where disclosure is authorised or required by law.

Subscription, confirmation and unsubscribe

Newsletter signup uses double opt-in. After submitting the form, you must follow the confirmation link sent to your email address before your subscription becomes active.

You can unsubscribe at any time using the unsubscribe link included in a newsletter, or by contacting us using the details below. We will stop sending newsletter messages to an unsubscribed address. A minimal suppression record may be retained to ensure that the address is not accidentally added again and to honour your unsubscribe request.

Access, correction and deletion

You may ask us to access, correct or delete personal information associated with your newsletter subscription by contacting us below. We may need to verify your identity before responding. We may retain information where required by law or where a limited record is needed to honour an unsubscribe request.

Security and retention

We take reasonable steps to protect newsletter information from misuse, interference, loss, and unauthorised access, modification or disclosure. Subscriber information is managed through MailerLite and may be present in limited administrative records used to operate the newsletter.

We retain subscriber information while the subscription remains active. After an unsubscribe or deletion request, we remove or de-identify information when it is no longer needed, subject to legal obligations and the minimal suppression records described above. No method of electronic storage or transmission can be guaranteed completely secure.
